01Scope
This policy covers cancellation, termination, and refund of professional services delivered by RMC Technology & Consultancy Limited under any signed Statement of Work (SOW), order form, or engagement letter. We do not sell physical goods or off-the-shelf software products.
02Productised packages
Productised packages (AI Starter Pack, Call Center Automation Pack, MVP in 30 Days, Operations Audit) are delivered on a fixed-price, fixed-scope basis. Payment terms are 50% upfront and 50% on delivery unless agreed otherwise.
You may cancel a productised package as follows:
- Before kick-off: full refund of any amount paid, less any external costs already incurred (cloud, licences, third-party services).
- During delivery: you pay for the work completed up to the date of cancellation, calculated pro rata against the agreed milestones. Any unspent portion of the upfront payment is refunded within 14 days.
- After delivery: the engagement is complete and not refundable, but any post-launch support included in the package remains valid.
03On-demand teams
- Minimum commitment is 4 weeks per role, billed monthly in arrears.
- After the initial 4 weeks, either party may terminate with one week's written notice.
- Days worked up to the termination date are billed at the agreed day rate. There are no early-termination fees.
04Custom engagements
Custom-scope engagements are governed by the cancellation and refund terms set out in the relevant SOW. Where the SOW is silent, the productised package terms above apply by default. We will always confirm cancellation terms in writing before signing.
05Termination for cause
Either party may terminate any engagement immediately if the other materially breaches the contract and fails to remedy the breach within 14 days of written notice. In the event of termination for cause by you, we will refund any payments for services not yet delivered. In the event of termination for cause by us, fees due for work completed remain payable.
06Refund processing
- Refunds are processed within 14 days of agreed cancellation.
- Refunds are made via the original payment method where possible.
- Bank fees, currency conversion fees, and chargeback fees are not refundable.
07Things that are not refundable
- External costs already incurred (cloud hosting, telephony minutes, LLM tokens, third-party licences)
- Work already delivered and accepted
- Discovery and audit phases that have been completed
- Custom hardware or third-party software purchased on your behalf
08Disputes
If you dispute any invoice or refund calculation, contact legal@rmctech.co.uk. We will investigate and respond within 14 days. Any unresolved disputes are subject to the governing law and jurisdiction set out in our Terms of Service.
09How to request cancellation
Send a written cancellation request to hello@rmctech.co.uk with the engagement reference and the reason for cancellation. We will confirm receipt within 1 business day and outline next steps.
